A customer fills in the form, the email lands in a shared inbox and someone copies it into the CRM later. Until then, there is no owner and no next step. If the message is overlooked, the sales report does not show the lost opportunity either.

Separate the person from the request or opportunity. An existing email can update the contact and create a new linked enquiry. A rule that blocks every message from the same email address can lose legitimate requests.

Who picks up the enquiry and when another colleague steps in

Define assignment by service, team or another real criterion. Also choose a fallback rule for when the owner is away or cannot be determined. An enquiry without an owner must appear in a list someone monitors, not stay hidden among the records.

Statuses should reflect the work: new, contacted, under evaluation, quoted or closed, according to your company's process. A booked meeting and a contact request are different events. Do not automatically turn a click into a sale or a request into a confirmed meeting.

How to test the integration before launch

Do not show success if the enquiry disappeared. Depending on the architecture, you can save it in a queue for later transfer or ask the visitor to try again. What matters is that the message and the procedure match the real result, with no requests silently lost.
