How to measure marketing all the way to leads and sales in your CRM

Connect pages and campaigns to enquiries, quotes and sales: sources, events, identifiers and the limits of attribution.

Key points

  • A button click is not a sale.
  • The enquiry's source must be kept when it enters the CRM.
  • Attribution has limits, and the report must explain them.

Why traffic reports do not answer the owner's question

The campaign shows clicks, the website shows visits and the sales team says a few enquiries came in. You do not know how many fit your offer or which contracts started from them. Each report may be correct for its own stage, but the link between stages is missing.

Start from the commercial question: which sources bring qualified requests, and what happens to them? For services with a long decision cycle, the result appears after conversations and quotes. A report only about completed forms does not describe the whole process.

Define the stages before choosing the metrics

Separate the visit, the intent to make contact, the saved enquiry, the conversation, the quote and the sale. If you use bookings, track them as a separate event. A click to the calendar is not a confirmed meeting, and a call request does not mean the conversation took place.

Write down the condition that triggers each event. The form's technical confirmation must be tied to a successful save. In the CRM, a won opportunity must match your company's commercial rule. Payment received can be a separate stage from signing the contract.

How to keep the source without losing context

Use a consistent convention for campaign parameters, such as source, medium and campaign. Apply the same names in the external links you control. Do not add campaign parameters to internal links as if they were new acquisition sources.

When the enquiry is saved, keep the source page and the available sources according to your setup and the user's choices. Note whether you have the first known source, the last one or both. A missing source should not be filled in with a guess just so the report looks good.

How to connect the enquiry to the result in your CRM

Link the enquiry to an internal identifier and track the contact, the opportunity and the quote. Define how you handle repeat enquiries and existing customers. The person, the request and the contract are different entities, and their counts are not automatically the same.

Do not send names, emails or private messages to analytics tools to identify a conversion. The integration must be designed with the right access and data for each system. For the sales report, the CRM can keep the context you need without exposing it in public URL parameters.

  • Source and page for confirmed enquiries.
  • A criterion for a qualified request.
  • Quotes and results linked to the opportunity.
  • Time to decision and loss reasons.

Which limits should appear in the report

Some customers come back directly, switch devices or call after seeing several materials. Measurement settings and users' choices can limit the data. Attribution gives a useful view, but it does not perfectly reconstruct every contact with your brand.

Separate attributed results from total results and note any missing data. Compare periods long enough for your sales cycle. A new campaign should not be judged only by the contracts signed right away if the decision usually takes longer.

How to choose your next marketing decision

Compare the cost and quality of enquiries by source, then follow their progress. If there are many poor-fit enquiries, check the message, the audience and the conditions you explain. If the enquiries are good but quotes go unanswered, the problem may be in your sales process.

At Webmate, we can connect the website, measurement and the CRM starting from one concrete path. Prepare a campaign, the form and the statuses your sales team uses. The goal is to be able to explain what happened between promotion and result, including what information is still missing.

Frequently asked questions

Is a button click a commercial conversion?

It is a signal of intent. The confirmed enquiry, the quote and the sale must be tracked separately, based on explicit conditions.

Why do Analytics and the CRM show different sources?

They may use different attribution rules and timing, or have incomplete data. Compare the definitions before deciding that one of the reports is wrong.

Can I see exactly every influence on a sale?

Not always. Devices, offline contact and measurement choices create limits. The report should keep these limits visible.
