B2B order automation: from enquiry to invoice and delivery

How to automate a B2B order process without losing approval rules, customer pricing, stock control or necessary human review.

Key points

  • An order should be entered once and tracked through the outcome.
  • Pricing, credit, stock and approval rules must be written before automation.
  • Exceptions need a queue, an owner and a recovery path.

Map the current order flow

Follow a real order, not the ideal path from a presentation. Record how the enquiry arrives, where price is checked, who confirms stock, who approves the discount and when documents are issued.

Mark manual copies and waiting points. Sometimes the problem is not missing automation, but a commercial rule that has never been explained clearly.

Validate the request before the final order

Customer, products, quantities, price, delivery time and payment terms should be checked before information reaches the warehouse. For existing customers, the system can use known rules, but it should show when an exception appears.

Good automation does not approve blindly. It sends cases outside the rule to the right person and keeps the reason for the decision.

Connect price, credit and stock

In B2B, the same product list can have different prices, discounts, units and payment terms. The source for each rule must be clear before synchronization.

Check credit limit, balance, available stock and purchasing. If a product cannot be delivered in full, the customer needs a clear option: partial shipment, a new date or manual approval.

Continue through documents and delivery

After confirmation, the order should reach preparation, reservation, dispatch, document creation and customer update. When these stages live in different systems, keep a shared identifier and the state of each stage.

Test cancellations, returns, partial shipments, quantity changes and failed payments. The simple path shows speed. Exceptions show whether the system protects the business.

Keep control after automation

Build a log of events, errors, approvals and retries. A blocked order needs a reason and an owner, not only a technical status.

Measure time from enquiry to confirmation, repeated entries, errors, manual interventions and orders reaching dispatch without a blockage. Review the automation when prices, channels or company rules change.

Frequently asked questions

Which part of B2B ordering should be automated first?

Start with data entry and validation, then connect stock, approval and documents. Prioritize the step that repeats most often and creates the most errors.

Should all approvals be removed?

No. Approvals that protect pricing, credit or risk should remain. Automation can send only the exceptions to people.

How do we know whether automation works?

Measure time, repeated entries, errors, manual interventions and orders reaching dispatch without a blockage.
